ClickTime.com is a software as a service (SaaS) company based in San Francisco, CA. ClickTime distributes hosted timesheet software on a subscription basis.[1] [2]
Company history
ClickTime was created in 1997 under the direction of Harold Mann and Alex Mann as a division of Mann Consulting, a San Francisco-based IT consulting firm. It spun off as a separate entity in 1999 after more clients realised the need for simple time and expense tracking software. Since then, ClickTime has grown to serve over 1500 businesses in 55 countries, logging its 100,000,000th hour in 2007. Its customers range from small firms to Fortune 500 companies such as Hewlett Packard, Google, Intel, Citi, and Visa.[3] [4] [5]
ClickTime Web Timesheet Features
ClickTime offers online timesheet systems and expense services for time tracking, billing, cost accounting, and payroll applications. The time tracking software provides for offline time tracking, customizable reports and data-sharing for legacy applications. ClickTime is composed of the following main components:
Time Tracking
ClickTime offers an online timesheet for logging employee hours, with both weekly and daily views available.[6] A stopwatch feature is also available for the daily timesheet view to track time automatically and more accurately.[7] Companies can use ClickTime to track billable time and billing rates, approve timesheets[8] that generate a secure audit trail, show which employees have not submitted a timesheet, and track and accrue non-worked time for use by management and human resources.[9] Administrators can also generate instant, preconfigured reports to view the time and expense data of all employees.
Expense Tracking
With ClickTime’s expense tracking module, employees can report expenses and attach and upload receipts from their computer and mobile devices. ClickTime also allows expense sheet approval and will generate reports by project, job, or person.
Resource Planning
The Resource Planning module allows company administrators and managers to plan and allocate monthly budgets and employee working hours against business constraints such as fixed budgets, working hour limits, and billing goals.[10] Companies can use ClickTime to increase the productivity of their employees by giving them hourly goals to strive for. Administrators and managers can view their company holistically through general statistics in Resource Planning, as well as track each specific employee’s progress towards their billable goals. Employees are given a personal dashboard to monitor their hours worked against hours assigned.
Mobile
Mobile users can access a specially optimized interface by going to www.clicktime.com on their mobile device. ClickTime mobile is designed for use over mobile networks (including 3G, 4G and LTE), and Wi-Fi, and allows wireless time and expense editing. Users can also fill in their timesheet and log their expenses with their iPhone, iPad, iPod Touch, and Android smartphones.[11] Features include creation of expense sheets, offline expense logging, and receipt capture with a smartphone camera.
Other Features
- Report Builder: Supplements the 70+ preconfigured and instant reports that ClickTime offers by allowing extensive manager customization for more targeted views of employee time. ClickTime reports also export to common spreadsheets and reporting tools, and can integrate with various software applications.
- QuickBooks Connector: Exports data directly to QuickBooks Pro, Premier, and Enterprise (2008–2014).[12]
- Advanced job estimation: Allows managers to compare estimated job values with actual job values. Continuous data updates help managers refine job estimates using a choice of job estimation models.
- Web Services API: Allows for users to synchronize data with the hosted ClickTime environment, and use ClickTime data within their internal applications and processes. ClickTime has fully implemented Simple Object Access Protocol (SOAP) based services and Representational State Transfer (REST) based communications.
- Audit Trail/DCAA Compliance:[13] Automatically log all changes to labor and cost accounting data, facilitating compliance with Sarbanes-Oxley and the Defense Contract Audit Agency (DCAA). ClickTime has a DCAA Compliance setting which tracks user explanations for data modifications.
- Desktop application: Lets ClickTime users track time while offline. The logged time will then sync directly to ClickTime once an Internet connection has been established.
Integration
ClickTime integrates with both QuickBooks and Excel.[14] It also allows users to export reports in numerous formats, including .xls, .txt, .csv, and .xml, in order to use the data with other software.[15] CickTime’s Web Services API module also allows users to further integrate the service with other software.
ClickTime for Non-Profit Organizations
ClickTime offers a customized time and expense tracking experience for companies in the non-profit sector at a discounted non-profit rate.[16] Non-profit organizations have to remain transparent in order to obtain funding from grantors.[17] ClickTime’s audit trail makes it easier for non-profit organizations to adhere to strict reporting standards.[18] ClickTime’s non-profit customers include the Multicultural Leadership Institute and Conservation International.[19]
