Rental relocations are specific to certain types of rental equipment. Examples include: portable buildings, construction trailers, large generators and heavy equipment.

A rental relocation is normally required because the customer or end user of the equipment wants to move the rented item from one construction job site to another, or simply reposition on the existing site (particularly in the case of construction trailers,[1] portable storage etc.).[2][3] The key to why a relocation is necessary is that the customer does not have the resource or equipment available to move the asset. For example trailers generally require on site services to be moved such as plumbing and electricity, they may require cranes to move them or load them onto trucks for moving.[4]

In these examples the customer will ring their rental company (see this article for an example list) and arrange for a relocation to be carried out. The rental company will normally charge for the various services that they provide to carry out the relocation.

Key points for management

Within the United States market as different states, cities and counties may charge rental taxation based on Delivery or Shipping location OR based on the rental companies shipping address it is important to ensure that the rental billing process picks up the new site address if the asset has moved location.

Within a market such as Europe, where a single customer may have sites across multiple country boundaries; for example a construction company in Belgium, may well also be trading in France, the Netherlands and Luxembourg, it is important to again ensure that the new site address is accurate as taxation and / or safety or legal requirements may change.

For locations such as the UAE (Abu Dhabi, Dubai etc.) there are no taxation requirements as taxes are not raised for rental services.

Rental management software should assist in managing the above process both in terms of creating shipping documentation and in terms of managing the taxation and address changes.

For the US market rental software that links to products such as Vertex or Taxware should pick up the taxation changes immediately as long as the address has been updated, if you are managing tax codes manually then you need to ensure that you validate the new address.

For other markets you should ensure that rules regarding the taxation of shipping or site locations are followed appropriately.
